1. Who we are
OneClubView is operated by Dave Fay, based in Dublin, Ireland. We provide a family activity management platform at oneclubview.com.

2. What data we collect
Account data (adults only)
- Email address — for login and notifications
- First name — to personalise the app
- Password — stored securely, hashed, never visible to us
Children's data
We understand the sensitivity of children's data and apply extra care:
- First name only — we never ask for a child's surname
- Date of birth — used solely to match age-appropriate camps and activities
- School name and class — used only for the classmate matching feature (anonymous camp booking nudges). This is optional.
Activity data
- Club names, schedules, and fee amounts you enter
- Camp bookings and holiday dates
- Forwarded email content (processed by AI, then stored as structured data)
Payment data
- Subscription payments are handled entirely by Stripe. We never see, store, or process your credit card number.
- We store your Stripe customer ID to manage your subscription.
Technical data
- We do not use analytics tracking cookies
- We do not use advertising cookies
- We do not use Facebook Pixel, Google Analytics, or any third-party tracking

4. The classmate matching feature
When you add your child's school and class, our system can show other parents an anonymous nudge when families from the same class book a camp. For example: "2 families from 2nd Class at Scoil Bhride booked this camp."
This feature is entirely anonymous. No names, no identifiers, no contact details are ever shared. Only the count of families and the class/school name are visible. You can disable this by removing school information from your child's profile at any time.
5. AI email processing
When you forward a club email to our system, it is processed by an AI model (Anthropic Claude) to extract schedule information, fees, and dates. The AI:
- Processes the email content once to extract structured data
- Does not retain or learn from your emails
- The original email text is stored in our database for your reference
6. Who has access to your data
Family sharing
When you invite a partner or family member, they can see all shared family data (children, clubs, schedules, fees). This is a core feature of the app. Only adults you explicitly invite can join your family.

We do not sell, rent, or share your data with advertisers, data brokers, or any other third parties.
7. Data security
- All data transmitted over HTTPS (encrypted in transit)
- Database encrypted at rest
- Passwords hashed using bcrypt (we cannot read them)
- Row-level security on all database tables (users can only access their own family's data)
- Stripe webhook signature verification
- No third-party analytics or tracking scripts
8. Your rights under GDPR
As an EU/Irish resident, you have the right to:
- Access — request a copy of all data we hold about you and your children
- Rectification — correct any inaccurate data
- Erasure — request deletion of all your data ("right to be forgotten")
- Data portability — receive your data in a machine-readable format
- Object — object to processing of your data
- Withdraw consent — for optional features like school/classmate matching

9. Children's data protection
OneClubView does not provide services directly to children. All children's data is entered and managed by their parent or legal guardian. We comply with:
- GDPR Article 8 — processing of children's personal data
- Irish Data Protection Act 2018 — the age of digital consent in Ireland is 16. Our service is for parents, not children.
If you believe a child has independently provided us with personal data, please contact us immediately and we will delete it.
10. Data retention
- Active accounts — data retained while your account is active
- Cancelled subscriptions — data retained for 90 days, then automatically deleted
- Deleted accounts — all data permanently deleted within 30 days of deletion request
- Forwarded emails — original email text retained for 12 months, then purged
11. Cookies
OneClubView uses only essential cookies required for the app to function:

Because we only use strictly necessary cookies, consent is not required under the ePrivacy Directive. However, we display a notice to be transparent about this.
12. Changes to this policy
We may update this policy from time to time. We will notify you by email of any material changes. The "last updated" date at the top reflects the most recent revision.
